CATERING POLICY

Rosalia's Kitchen 12130 Miramar Parkway, Miramar, FL 33025 Phone: (954) 302-8878 · hello@rosaliaskitchen.com

Last updated: Sep. 2026

Thanks for thinking of us for your event. This policy explains how our catering works — timelines, payments, changes, and the details that keep everything running smoothly on the day. Please read it before booking. Placing a catering order means you've read and agreed to this policy, along with our Terms and Conditions and Privacy Policy.

1. How to Book

Catering inquiries can be submitted through our website, by email at hello@rosaliaskitchen.com, or by phone at (954) 302-8878.

An inquiry is not a booking. Your event is confirmed only when we have (a) sent you a written quote or event order, (b) received your signed or emailed approval of it, and (c) received your deposit. Until all three are complete, dates, times, and menu items are not held for you.

2. Lead Times

Order size Minimum notice Up to [25] guests [72 hours] [26–75] guests [7 days] [76+] guests or full-service events [14 days] Holidays and peak dates [21 days]

We'll always try to accommodate short-notice requests, but rush orders are subject to kitchen capacity and may carry a rush fee of [15%]. Certain menu items require additional lead time and may not be available on a rush basis.

3. Minimums

  • Minimum catering order: $[250] before tax, fees, and gratuity.

  • Delivery orders: minimum $[350] before tax, fees, and gratuity.

  • Individual menu items may have their own minimum quantities (for example, trays served in half or full sizes only).

4. Menu, Substitutions, and Dietary Needs

We're happy to talk through the menu and build something that fits your event. Please tell us about dietary restrictions when you book, not on the day — we can usually accommodate vegetarian, vegan, and gluten-conscious requests with advance notice.

Ingredient availability moves with the market and the season. If something we've quoted becomes unavailable, we'll substitute an item of equal or greater value and let you know as soon as we can.

Allergen notice: our kitchen prepares food containing milk, eggs, wheat, soy, peanuts, tree nuts, fish, shellfish, and sesame. We take allergies seriously and will do our best to accommodate them, but we cannot guarantee that any dish is free of a given allergen, and we cannot guarantee an allergen-free preparation environment. Guests with severe allergies should make their own judgment about what to eat.

5. Pricing, Headcount, and Final Guarantee

All prices are quoted in U.S. dollars and are valid for [30] days from the date of the quote. Quotes are based on the guest count, menu, date, and service details you give us; changing any of those may change the price.

Your final guaranteed headcount is due [72 hours] before the event. This number is what we cook for and what you're billed for, even if fewer guests attend. If we don't hear from you, we'll use the headcount on your most recent event order. Increases after the guarantee deadline are subject to availability and may carry a rush fee.

6. Deposits and Payment

  • A non-refundable deposit of [50%] of the estimated total is due at booking.

  • The remaining balance is due [on or before the day of the event / within [15] days of the event for approved accounts].

  • We accept [credit and debit cards, ACH transfer, and business checks]. Personal checks are accepted at our discretion.

  • Late balances may accrue interest of [1.5%] per month, or the maximum rate permitted by Florida law, whichever is lower, plus reasonable costs of collection.

  • Returned or declined payments may carry a [$35] fee.

A taxable service charge of [18%] may be applied to delivered and full-service events. This charge covers packaging, transport, coordination, and operational costs. It is not a gratuity and is not distributed to staff as a tip. Gratuity is entirely at your discretion and always appreciated.

Florida and Broward County sales tax will be applied where required. Tax-exempt organizations must provide a valid Florida Consumer's Certificate of Exemption before we issue the final invoice; we cannot retroactively remove tax from a closed invoice.

7. Changes to Your Order

Menu changes, guest count adjustments, and timing changes must be requested in writing (email is fine) and are confirmed only when we reply confirming them. A verbal conversation isn't a change to your order.

  • More than [7] days out: changes generally accommodated at no additional charge, subject to availability.

  • [3–7] days out: changes accommodated where possible; added items may carry a rush fee.

  • Fewer than [72] hours: we can usually add, but we cannot reduce. Reductions inside this window are billed at the guaranteed headcount.

8. Cancellations and Refunds

Cancellations must be submitted in writing to hello@rosaliaskitchen.com. The cancellation date is the date we receive your notice.

Notice given What you owe [14+] days before event Deposit forfeited; no further charge [7–13] days before event [50%] of the estimated total [72 hours–6] days before event [75%] of the estimated total Fewer than [72] hours [100%] of the estimated total

Postponements: we'll do our best to move your event to a new date within [90] days and apply your deposit to it, subject to availability. One postponement per booking; a second change is treated as a cancellation under the schedule above.

If we have to cancel: if we're unable to fulfill your order for any reason within our control, you'll receive a full refund of everything you've paid us, including the deposit. That refund is our full and total liability, consistent with Section 16 of our Terms and Conditions.

9. Delivery, Pickup, and Setup

Delivery. We deliver within approximately [20] miles of our Miramar location. Delivery fees start at [$35] and scale with distance and order size; we'll quote yours in writing. Addresses outside our standard area may be served at our discretion for an additional fee.

Delivery windows are estimates, not guarantees. We plan for a [30]-minute window on either side of your requested time, and we'll call if traffic, weather, or road conditions put us outside it.

Someone [18] or older must be present at the delivery address to receive the order. If nobody is available after [20] minutes and we can't reach you, we'll leave the order in the safest reasonable place or return it to the kitchen, and the order is considered delivered and fully billable. We are not responsible for food quality or safety after an unattended drop-off.

Pickup. Pickup orders must be collected at the scheduled time from our Miramar location. Bring a vehicle with enough flat space — trays don't travel well on a lap. Once an order leaves our hands, food safety, temperature, and transport are your responsibility.

Setup and site access. Standard delivery includes drop-off and basic tray placement. Full setup, chafing dishes, linens, and buffet arrangement are available for an additional [$X] and must be arranged in advance.

Please tell us in advance about anything that affects access: loading docks, stairs, elevators, gate codes, parking restrictions, security check-in, or a long walk from the curb. You're responsible for providing a clear, level, and adequate surface for the buffet and, where the setup requires it, access to power. Wait time or additional labor caused by access problems on your end may be billed at [$50] per hour.

10. Equipment, Rentals, and Returns

Chafing dishes, serving utensils, racks, beverage dispensers, and similar equipment remain the property of Rosalia's Kitchen and are loaned to you for the event only.

  • Equipment must be available for pickup at the agreed time, or returned to us within [48] hours.

  • A refundable equipment deposit of [$X] may be required.

  • Missing, damaged, or unreturned equipment is billed at replacement cost.

  • Disposable serviceware is provided [on request / for an additional fee].

11. Staffed Events

Where your event includes servers, bartenders, or an on-site attendant:

  • Staffing is quoted at [$X] per staff member per hour, with a [4]-hour minimum per person.

  • Staffing hours begin at arrival and end at completion of breakdown.

  • Overtime beyond the contracted end time is billed in [30]-minute increments at [1.5x] the hourly rate and must be approved on site by your event contact.

  • Please provide staff with access to a restroom and, for events over [5] hours, a shaded or indoor break area.

12. Food Safety and Leftovers

Prepared food is safe to hold at serving temperature for a limited window — generally no more than [2] hours at room temperature, and less in outdoor heat. Once your order is delivered or picked up, responsibility for holding, serving, refrigerating, and discarding food passes to you.

We're glad for you to keep leftovers, but we cannot take back, re-serve, or accept returns of any food that has left our kitchen, and we are not responsible for food consumed after the recommended holding window. For outdoor events, please talk to us in advance about shade, ice, and timing so we can plan the menu around the conditions.

13. Alcohol

Where alcohol service is offered or included:

  • All guests being served must be [21] or older and must present valid, unexpired government-issued photo ID on request.

  • We reserve the absolute right to refuse or discontinue service to any guest who appears intoxicated, cannot produce valid ID, or is behaving unsafely — no refund is due for service refused on these grounds.

  • Alcohol service is subject to Florida law and to any applicable license held by us or by the venue. If a licensed third party is providing alcohol at your event, that arrangement is between you and them.

14. Venue, Property, and Conduct

You're responsible for securing any permits, venue approvals, insurance, or certificates of insurance your location requires, and for telling us about venue rules that affect us. If a venue turns us away or delays access, the order remains fully billable.

We're not liable for damage to floors, surfaces, or fixtures arising from normal catering setup and service, or from conditions at the site that we weren't told about. You agree to cover the cost of any damage to our equipment or vehicles caused by you or your guests, and to indemnify us as set out in Section 17 of our Terms and Conditions.

We ask that our team be treated respectfully. We reserve the right to end service and leave, without refund, in the face of threatening, abusive, harassing, or unsafe conduct toward our staff.

15. Events Beyond Our Control

Neither party is responsible for failure to perform due to causes outside its reasonable control, including hurricanes and severe weather, mandatory evacuation, flooding, fire, power or water loss, road closures, supply chain failure, labor disruption, public health orders, or government action.

If such an event prevents us from fulfilling your order, we'll work with you to reschedule, or refund amounts paid for services not delivered, less any documented costs already incurred on your behalf (food purchased, staffing committed, rentals booked). In hurricane season, we recommend confirming your event's contingency plan with us at booking.

16. Photos and Publicity

We may photograph food and setups we've prepared and use those images to promote Rosalia's Kitchen. We won't identify you, your guests, or your event by name without your permission, and we'll skip photography entirely at your event if you ask us to in advance.

17. Complaints and Service Recovery

If something isn't right, tell us while we can still fix it. Please raise concerns about quality, quantity, or accuracy on the day of the event, and in any case within [48] hours, so we can investigate. Where a complaint is confirmed, we'll make it right through a credit, partial refund, or replacement at our discretion. Claims raised after food has been fully consumed, or more than [48] hours after the event, may not be eligible for adjustment.

18. Governing Terms

This Catering Policy supplements and is incorporated into the Rosalia's Kitchen Terms and Conditions. Where a signed event order or catering contract conflicts with this policy, the signed document controls for that event. Where this policy conflicts with our Terms and Conditions on a general matter, the Terms and Conditions control.

Governing law, dispute resolution, arbitration, disclaimers, and limitations of liability are addressed in Sections 12, 13, 15, and 16 of our Terms and Conditions and apply to catering orders. This policy is governed by the laws of the State of Florida.

We may update this policy at any time. The version in effect on the date of your written event order governs your event.

19. Questions

Call us at (954) 302-8878 or email hello@rosaliaskitchen.com. If anything here is unclear, ask before you book — we'd much rather explain it now than sort it out on event day.
